Event participation Terms & Conditions

By accepting a place in a Terrence Higgins Trust (“THT”) charity event (“the Event”), you agree to the following Terms & Conditions.

1. Participation

I will inform Terrence Higgins Trust ([email protected]) as soon as possible if I am unable to take part in the Event.

2. Disclaimer

I acknowledge that I am taking part in the Event at my own risk. Terrence Higgins Trust will not be held liable for any accident, injury, loss or damage incurred as a result of my participation in the Event, unless such accident, injury, loss or damage is caused by the negligence of Terrence Higgins Trust.

3. Health

I understand that I am responsible for my own health and for deciding whether I am physically able to take part in the Event. If I am unsure about my ability to participate, I will seek appropriate medical advice before the Event. If I need to withdraw from the Event, I will inform Terrence Higgins Trust as soon as possible.

4. Age

I confirm that I am aged 18 or over at the time of participation.

5. Entry and registration

  • I agree to pay the Event registration fee, which secures my place in the Terrence Higgins Trust team. Registration fees are non‑refundable and non‑transferable.
  • For the 2027 TCS London Marathon, the £100 registration fee must be paid within two weeks of receiving an offer email or an agreed date by Terrence Higgins Trust. Terrence Higgins Trust reserves the right to offer the place to another supporter if payment is not received within this timeframe.
  • Once the registration fee has been paid, Terrence Higgins Trust will advise me of the next steps required to register with the Event organiser.
  • I understand that I must complete the registration process with the Event organiser in full to secure my place.
  • I agree to comply with all rules and conditions set out by the Event organiser.
  • If the Event is cancelled or postponed, Terrence Higgins Trust will make reasonable efforts to transfer my place to a future year. However, I acknowledge that this may not always be possible and that a place cannot be guaranteed.
  • I will inform Terrence Higgins Trust if I change my address, phone number or email address after registering for an Event.
  • Failure to complete the registration process fully may result in my place being withdrawn.

6. Sponsorship and fundraising

  • By accepting a place in the Terrence Higgins Trust team, I confirm my commitment to raise as much money as possible toward the stated minimum fundraising target.
  • Each charity place incurs a cost to the Trust, so I agree to have a realistic fundraising plan in place before accepting my place.
  • Fundraising is specific to each Event. Any funds raised above the target for one Event cannot be transferred to another Event or counted towards another fundraising goal.
  • Failure to meet the agreed fundraising target may affect eligibility for charity places in future events.
  • I agree to set up an online fundraising page for Terrence Higgins Trust at least two months before the Event (or six months before the 2027 TCS London Marathon). If I fail to do so, Terrence Higgins Trust may withdraw my place.
  • For the TCS London Marathon 2027, fundraising milestones are as follows for UK runners :
    • £500 by 1 January 2027
    • £1,500 by 1 March 2027
    • £2,600 (excluding Gift Aid) by one month after the Event on Sunday 25 April 2027
  • For the TCS London Marathon 2027, fundraising milestones are as follows for overseas runners :
    • £1,000 by 1 January 2027
    • £3,000 by 1 March 2027
    • £4,000 (excluding Gift Aid) by one month after the Event on Sunday 25 April 2027
  • If I am unable to demonstrate reasonable progress toward my fundraising target, my place may be withdrawn.
  • Terrence Higgins Trust reserves the right to withdraw charity places at any time if necessary, including (but not limited to) failure to meet fundraising milestones, lack of communication, or the use of unlawful or unethical fundraising methods. Where possible, the Trust will inform me of concerns and attempt to resolve them.
  • I understand that fundraising targets do not include Gift Aid, and I agree to encourage sponsors to add Gift Aid where possible.
  • I agree to fundraise responsibly, legally, and in a way that does not bring Terrence Higgins Trust into disrepute.
  • If I withdraw from the Event for any reason, including illness or injury, I agree that any funds raised to date will be submitted to Terrence Higgins Trust. I will inform my donors of my withdrawal and advise them that they may request a refund if they wish.

7. TCS London Marathon Charity Place – Deferral Policy

We know that sometimes things don’t go to plan. If you’re no longer able to take part in the TCS London Marathon, we’ll always do our best to support you.

Can I defer my place?

Charity places in the TCS London Marathon are very limited and in high demand, so deferrals are not guaranteed. Charity places belong to us as a charity. We offer them to supporters who commit to fundraising so we can make the biggest possible difference together.

However, we will consider requests on a case‑by‑case basis, particularly if you’re unable to take part due to:

  • Injury or illness
  • A significant change in personal circumstances

What we’ll consider

When reviewing your request, we’ll usually look at:

  • How close you are to the Event date
  • Your reason for deferring
  • How much of your fundraising target you’ve already reached

As a guide, we’re more likely to offer a deferral if you’ve made strong progress towards your fundraising target or milestones. 

If your deferral is approved

  • Your place will usually be deferred to the following year only
  • Any money you’ve already raised will carry over to your new place
  • You’ll be expected to registered again for the new Event and complete your fundraising commitment
  • You may need to pay a new registration fee

If we can’t offer a deferral

We understand this can be disappointing. In this case:

  • Your place will be released
  • Any money raised will still go towards supporting our work at Terrence Higgins Trust and cannot be refunded

Let us know as soon as possible

If you think you may need to defer, please contact us ([email protected]) as early as you can. The sooner we know, the more options we may have.

8. Payments to Terrence Higgins Trust

  • All funds raised via an authorised online fundraising platform will be transferred automatically to Terrence Higgins Trust.
  • Offline donations may be paid by cheque (made payable to “Terrence Higgins Trust”), bank transfer, or by using a paying‑in slip available from Terrence Higgins Trust at NatWest branches.
  • I will ensure that all outstanding offline donations are forwarded to Terrence Higgins Trust no later than four weeks after the Event.
  • For guidance on transferring offline donations, I will contact the fundraising team at [email protected].

9. Photography and media

By taking part in the Event, I acknowledge that photographs and video footage may be taken of me, including while wearing a Terrence Higgins Trust running vest or T‑shirt. These images may be used by Terrence Higgins Trust for promotional and fundraising purposes, including on the Trust’s website, annual report, newsletters, social media channels and other printed materials.

If I do not wish to appear in such materials, I understand that I should contact Terrence Higgins Trust in advance by emailing [email protected], and the Trust will make reasonable efforts to accommodate my request.

10. Conduct and instructions

I agree to comply with any reasonable instructions or guidance provided by Terrence Higgins Trust relating to my participation and fundraising activities. I acknowledge that I remain responsible for organising and carrying out my fundraising activities.

11. Insurance

I acknowledge and accept that Terrence Higgins Trust’s insurance policies do not cover my participation in the Event.

12. Legal Compliance

I agree to comply with all applicable laws and regulations in connection with the Event and my participation in it.

13. Reputation

I will not act in any way that may reasonably damage the reputation or name of Terrence Higgins Trust. If the Trust reasonably believes that my participation could cause reputational damage, I agree to withdraw from the Event immediately at the request of Terrence Higgins Trust.
